Keep the invoice and what happens next together.

Sending an invoice is one step in getting paid. BizAtrio keeps the document connected to the customer, payment entries and fulfilment costs, giving your team a shared record of the work and the remaining balance.

Two ways to create an invoice

Build an invoice directly for a confirmed sale, or convert an accepted quotation when the customer has already approved the price. Both paths produce a downloadable PDF.

Payments and outstanding balances

Record receipts, refunds, transaction fees and payment references against the invoice. Receipts less refunds determine the amount collected and the balance still due.

Costs and completed-order profit

Record actual fulfilment costs as work progresses. Complete the order and finalise its costs to see invoice net sales less actual costs and payment fees.

A PRACTICAL WORKFLOW

How to track an invoice from issue to payment

  1. Choose the customer and invoice details

Create a direct invoice with item descriptions, quantities and prices, or open an accepted quotation and choose Create invoice / order.

  2. Save and download the invoice

Review the currency, dates, payment terms and totals. Save to receive an invoice number, then download the customer-facing PDF.

  3. Record money received

Add a receipt when a customer pays, including the date, reference and fee. Record refunds against the same invoice when needed.

  4. Review the balance and close the work

Check the outstanding balance and enter actual costs. Mark the order completed and finalise costs when the job is finished.

Keep multi-currency invoices understandable.

An invoice retains its saved currency. Its receipts, refunds and costs use the same currency, and financial reports show one currency at a time. Changing your business default later does not convert or relabel existing invoices. This keeps the customer balance tied to the amount you actually invoiced.

GOOD TO KNOW

Your questions, answered.

Does recording a payment charge the customer?

No. Payment entries record money already received or refunded. They update your records and balance; they do not transfer funds or charge a customer.

Can I invoice a customer without a quotation?

Yes. Create a direct invoice for a sale that does not require a quote first. You can also create invoices from accepted quotations when that suits your workflow.

Does cash collected equal order profit?

No. Cash collected is receipts less refunds. Completed-order profit uses invoice sales excluding tax, less actual fulfilment costs and payment fees, after the order is completed and costs are finalised.
